Permanent inventory vs exhibition inventory
A permanent studio inventory records the whole life of a work: creation, provenance, exhibitions, sales and location history. An exhibition inventory is narrower. Use statuses consistently
Avoid free-text variations such as “on hold”, “held” and “maybe sold”. A short fixed set — Available, Reserved, Sold and Not for sale — makes the price list and staff handover much clearer.
Location matters during installation
For larger shows, record a simple display location such as North wall, Room 2 or Stand B14. That makes installation checks and end-of-show collection much faster, especially when multiple people are handling the work.
